- Gingr API credentials (used solely to connect to your Gingr account)

Data Accessed Through Gingr
To provide our services, Watchdog accesses data from your Gingr account through the Gingr API. This may include:
- Pet information: names, breeds, species, weights, vaccination records, and medical notes
- Pet owner information: names, contact details, and account identifiers
- Facility operational data: reservations, check-in/check-out records, housing assignments, grooming schedules, billing information, and staff notes
- Documents: vaccination certificates, veterinary records, and other files uploaded to Gingr
Usage Information
We automatically collect information about how you interact with our service, including features used, pages visited, configuration choices, and error logs. This helps us improve reliability and performance.
2. How We Use Your Information
We use the information we collect to:
- Provide the service: Process vaccination documents, generate daily briefs, run custom agent workflows, and push data back to your Gingr account as you've configured
- Improve accuracy: Evaluate and improve the performance of our AI extraction and analysis models
- Communicate with you: Send service-related notifications, respond to support requests, and share product updates
- Maintain security: Detect and prevent fraud, abuse, and security incidents
We do not sell your data. We do not use your Gingr data for advertising. We do not share your facility's data with other Watchdog customers.
3. AI and Machine Learning Processing
Watchdog uses AI models to extract information from vaccination documents, generate daily briefs, and power custom agent workflows. When processing your documents:
- Document content is sent to our AI processing providers for analysis
- We use commercially available AI models from third-party providers (including Google and Anthropic) for document understanding and text generation
- We do not use your facility's data to train or fine-tune general-purpose AI models
- Extracted data is stored in our systems and, when configured, pushed back to your Gingr account
4. Data Sharing and Third Parties
We share information with third parties only in the following circumstances:
- Gingr: We read from and write to your Gingr account using your API credentials, as authorized by you
- AI processing providers: Document content is processed by AI model providers to perform extraction and analysis
- Infrastructure providers: We use cloud hosting and database providers to operate our service (data is stored in the United States)
- Payment processors: Billing information is handled by our payment provider
- Legal requirements: We may disclose information if required by law, regulation, legal process, or government request
5. Data Storage and Security
Your data is stored on servers located in the United States. We implement industry-standard security measures to protect your information, including:
- Encryption in transit (TLS) and at rest
- Access controls and authentication for all internal systems
- Regular security reviews and monitoring
- Gingr API credentials are stored encrypted and are never exposed to other users or services
While we take reasonable measures to protect your data, no system is completely secure. You are responsible for maintaining the confidentiality of your account credentials.
6. Data Retention
We retain your data for as long as your account is active and as needed to provide the service. Specifically:
- Account data: Retained while your account is active and for up to 30 days after deletion
- Processed documents: Document images and extracted data are retained for the duration of your subscription to enable review and audit
- Daily briefs and agent logs: Retained for 90 days by default, configurable per your plan
- Usage logs: Retained for up to 12 months for security and improvement purposes
Upon account termination, we will delete your data within 30 days, except where retention is required by law or for legitimate business purposes (such as resolving disputes).
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete your personal information
- Export your data in a portable format
- Object to certain processing activities
